1. Who we are and what this policy covers
Raker5 Ventures LLC, a Washington limited liability company, doing business as AvenLogix ("AvenLogix," "we," "us"), provides cloud-based business software, including AvenLogix PM, available at app.avenlogix.com, and related products we may add (together, the "Services"). We are located in Spokane Valley, Washington, USA.
This policy explains what personal information we collect, how we use and share it, and the choices you have. It covers our website (avenlogix.com), the Services, and our communications with you.
The Services are sold to businesses. A business that subscribes is a "Tenant." The Tenant's account administrator invites and manages users within the Tenant's workspace.
For account and billing information about Tenants and their users, AvenLogix decides how the data is used. We act as the controller.
For content Tenants put into the Services (projects, tasks, comments, files, contacts), the Tenant controls that data. We act as a service provider (processor) and handle it only to run the Services for that Tenant. See Section 4.
If your employer or organization gave you access, questions about your workspace data should go to your organization's administrator first.
2. Information we collect
We collect only what we need to run and secure the Services.
| Category | Examples | Source |
|---|---|---|
| Account information | Name, business email, password (stored hashed, never in plain text), company/Tenant name, product access and roles; for trial sign-ups, team size and the sign-up link used | You or your Tenant administrator |
| Invitation information | Invitee name and email, inviting user, invite status | Your Tenant administrator |
| Customer content | Projects, phases, tasks, dates, dependencies, comments, assignments, uploaded documents, and (in CRM) contact and company records | Users in your Tenant |
| Billing information | Billing contact, billing address, subscription plan, payment history. Card details are collected and stored by our payment processor, not by AvenLogix | You, via Stripe |
| Usage and log data | IP address, browser type, device, pages and features used, timestamps, error logs, sign-in events | Collected automatically |
| Communications | Support requests, emails, and feedback you send us | You |
3. How we use information
We use personal information to:
Provide the Services: create accounts, authenticate users, enforce the roles and permissions your administrator sets, and display your workspace data.
Send service messages: invitations, password resets, security notices, task or project alerts, and billing receipts.
Process payments and manage subscriptions.
Secure the Services: detect and prevent fraud, abuse, and unauthorized access.
Support you: respond to requests and troubleshoot problems.
Improve the Services: understand which features are used and fix errors, using aggregated or de-identified data where practical.
Meet legal obligations and enforce our Terms of Service (avenlogix.com/terms).
We do not sell personal information. We do not share it for cross-context behavioral advertising. We do not use Customer Content to train AI models.
We may send product updates or marketing emails to account contacts. You can unsubscribe at any time; service messages will still be sent.
4. Customer Content and Tenant control
Customer Content belongs to the Tenant. We process it only to provide the Services, as directed by the Tenant and our agreement with them.
Separation between Tenants. Each Tenant's data is logically separated and tied to that Tenant. Users can see only the Tenants, products, and projects they have been granted access to.
Administrator control. Your Tenant administrator can add and remove users, assign product access and roles, view all projects in the Tenant, and delete projects. Administrators may be able to access content you create in the workspace.
Our access. AvenLogix personnel access Customer Content only when needed to provide support you request, maintain or secure the Services, or comply with law.
Requests about Customer Content. If we receive a privacy request about data a Tenant controls, we will refer it to that Tenant and help them respond.
5. How we share information
We share personal information only as described here.
Service providers (subprocessors). We use trusted vendors to host and operate the Services. They may process data only on our instructions and must protect it.
| Provider | Purpose | Data involved |
|---|---|---|
| Microsoft Azure | Application hosting, database, and file storage (United States) | All Service data |
| Cloudflare | DNS, network security, and traffic delivery | IP address, request data |
| Microsoft 365 | Business email and support communications | Emails you send us |
| Stripe | Payment processing and subscription billing | Billing contact and payment data |
| Resend | Transactional email: invitations, password resets, and alerts | Name, email, message content |
Within your Tenant. Information you add is visible to other authorized users in your Tenant, based on the roles your administrator sets.
Legal and safety. We may disclose information if required by law, subpoena, or court order, or to protect the rights, property, or safety of AvenLogix, our users, or others.
Business transfers. If AvenLogix is involved in a merger, acquisition, or sale of assets, information may transfer as part of that deal. This policy will continue to apply, or we will notify you of changes.
With your consent. We may share information for other purposes when you direct us to.
6. Data retention and deletion
We keep personal information only as long as needed for the purposes in this policy.
Active accounts: for as long as the Tenant's subscription is active.
After cancellation or trial end: Customer Content is kept for 30 days after a subscription is cancelled, or after a free trial ends without a subscription, so the Tenant can subscribe or export it, then deleted from active systems. Backups are overwritten within 35 days after that.
Removed users: when an administrator removes a user, their account is deleted and they can no longer sign in. Content they created stays with the Tenant.
Billing records: kept as long as required for tax and accounting law (typically 7 years).
Sign-in activity and logs: sign-in activity (time, IP address, browser) is kept for up to 12 months; other system logs for up to 90 days, unless needed to investigate a security issue.
A Tenant administrator can request earlier deletion of the Tenant's data by contacting [email protected].
7. Security
We use reasonable administrative, technical, and physical safeguards to protect personal information, including:
Encryption in transit (HTTPS/TLS) for all traffic to the Services.
Encryption at rest provided by our hosting platform's managed database.
Passwords stored only as salted, one-way hashes.
Role-based access controls that limit what each user can see and change.
Network protection through Cloudflare.
Automatic database backups.
No system is completely secure. If we learn of a security breach affecting your personal information, we will notify affected Tenants and individuals as required by law.
8. Your rights and choices
Depending on where you live, you may have the right to:
Access the personal information we hold about you.
Correct inaccurate information.
Delete your personal information.
Export your information in a portable format.
Opt out of marketing emails.
Object to or restrict certain processing (EEA, UK, and Switzerland).
Appeal a decision we make about your request.
You can update your name and password in My Account. For other requests, email [email protected]. We will verify your identity and respond within the time the law requires (generally 30–45 days). We will not discriminate against you for exercising these rights.
If your information is part of a Tenant's workspace, we may direct your request to that Tenant's administrator (see Section 4).
California and other U.S. state residents. We do not sell or share personal information as those terms are defined in U.S. state privacy laws. The categories we collect are listed in Section 2, the purposes in Section 3, and the recipients in Section 5.
EEA, UK, and Swiss users. We process personal information to perform our contract with you or your Tenant, for our legitimate interests in operating and securing the Services, to meet legal obligations, and with your consent where required. You may lodge a complaint with your local data protection authority.
9. Cookies and browser storage
We use only what the Services need to work:
Session cookies keep you signed in.
Browser local storage remembers your display preferences on your own device, such as Kanban filters and whether Gantt dependency arrows are shown. It is not sent to us or used for tracking.
Cloudflare may set security cookies to identify trusted traffic.
We do not use advertising cookies.
10. International data transfers
AvenLogix is based in the United States, and the Services are hosted in the United States. If you use the Services from outside the U.S., your information will be transferred to and processed in the U.S. Where required, we use appropriate safeguards such as the European Commission's Standard Contractual Clauses.
11. Children
The Services are for businesses and are not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has given us information, contact us and we will delete it.
12. Changes to this policy
We may update this policy from time to time. We will post the new version with a new "Last updated" date. For material changes, we will notify Tenant administrators by email or in the Services at least 30 days before they take effect.
